Destination wedding invitations: what guests need to know before they say yes

A destination wedding invitation is not really an invitation. It is a request for three or four days of somebody's leave, a flight, and in most cases a hotel booking.

That changes what has to be on it. Guests cannot say yes to a destination wedding without knowing what it will cost them in time and money, and an invitation that leaves that out gets a lot of polite silence instead of replies.

What has to be on it

  • Exact dates, including arrival and departure. Not just the wedding day. Guests are booking leave.
  • The full schedule, so they can see which days they must be there for and which are optional.
  • Who is paying for what. This is the awkward one and it must be explicit. If you are covering rooms, say so. If you are not, say that too, clearly and early.
  • Hotel options at more than one price point, with a booking deadline and any group rate code.
  • How to get there. Nearest airport or station, how far the venue is, and whether transfers are arranged.
  • Weather and what to pack. A Udaipur wedding in December and a Goa wedding in April need very different suitcases.
  • Visa or permit requirements, if guests are travelling from abroad.

Questions people actually ask

How far in advance should destination wedding invitations be sent?

Save the dates six to twelve months ahead depending on distance, and the full invitation ten to sixteen weeks before. Guests need to book leave, flights and rooms, and all three get more expensive the longer they wait.

Should the invitation say who is paying for what?

Yes, explicitly. It is the single most useful thing on a destination wedding invitation. Guests would much rather know upfront than work it out after they have accepted.

What should a destination wedding invitation include?

Is it rude to invite people to a destination wedding?

No, as long as you are clear about the cost and genuinely relaxed about people declining. What causes friction is vagueness, not the invitation itself.

How do we handle guests who cannot afford it?

Make declining easy and unembarrassing, and say so in writing. A short line saying you completely understand does more than anything else to keep the relationship comfortable.
